THE BASICS

Marshalling Yard Address: 65-89 Capital Ave.  All exhibitors are required to check-in at the off-site marshalling yard prior to heading to the CTCC.

A hotel room block for this event has been set-up at the Hartford Marriott Downtown and the Hampton Inn + Suites Hartford/East Hartford.  Once you register for an Exhibitor Name badge, the hotel booking links/code will be sent in the confirmation email.

Paramount Convention Services (PCS) is proudly serving again as the exhibitor service provider. Click here for our Exhibitor Service Kit.

Each purchased booth is equipped with: 8’ high back wall drape, 3’ side dividers, (1) 6’ skirted table, (2) padded side chairs, (1) wastebasket, a booth identification sign showing the company name, Lead Retrieval license, AND ONSITE MATERIAL HANDLING. Additional equipment, including carpeting, internet, A/V, etc. can be ordered through the exhibitor service kit.

Exhibitors opt'd in or out of complimentary furnishings and lead retrieval during booth registration.  If you are unsure of your selection, refer to the Vendor Dashboard link found on your booth confirmation email or contact SIMA.

Each Hartford exhibitor can opt-in to the complimentary Lead Retrieval license. This license allows you and your team to capture leads using their own smartphone device during the event -  simply download the app and start scanning!

Register for your exhibitor name badge via the link found on your online Vendor Dashboard* and your confirmation email will contain the hotel booking link.

Ten (10) exhibitor trade show only badges will be honored at a $0 fee per purchased booth.  Badges must be worn at all times and are required for entry into the show; they must be worn by company representatives only.

Names for exhibitor badges are due by June 8, 2023. Badges beyond those included OR requested after the June 8th deadline will be at the prevailing Symposium registration fee.  

Interested in education sessions?  A special Exhibitor Full Show Pass is available at $295/each.

Parking
Vehicles able to park in the parking garage should do so.  An attached parking ramp is available for the CTCC.
  

Suggested parking information for oversized trailers and box trucks unable to fit in the parking garage or surface lot is coming soon. 

Security
Security for the trade show hall during non-trade show hours, beginning at 5 pm on Monday, June 12. 

Please note that there will not be a security guard in the loading dock area, so any materials should be accompanied by a member of your team to ensure security of your property.

 

The Snow & Ice Symposium will follow all state, local and venue requirements in place at the time of the event.

All booth payments must be made-in-full by March 31, 2023.  Booths with at open balance at this time are subject to location change or release.

As an exhibitor or sponsor with the 26th Annual Snow & Ice Symposium, you have the opportunity to submit a 50-word product spotlight that will be showcased in the June issue of Snow Business.

All exhibitors must provide SIMA with a Certificate of Insurance, naming SIMA as additional insured on your general liability policy of at least $1 million, listing  the dates of the show (June 13-16, 2023) by May 1, 2023.

EXHIBITOR FAQS

Where can I find the Exhibitor Terms & Conditions?

The 2023 Exhibitor T&Cs were sent in the confirmation email you received from SIMA when booking your booth. 
By registering for a booth space, you agreed to these terms.  Access the 2023 T&Cs here.

What drayage/material handling is included with my booth purchase?

Your booth purchase includes:

  • Moving equipment/materials from the loading dock to the exhibitor booth via a fork lift for move-in and visa-versa for move-out
    • This includes items shipped to the Advance Warehouse by June 5th
    • Items received at the warehouse after June 5th will incur a 25% surcharge to be paid by the exhibitor
  • Vehicle spotting if equipment can move on its own

Basically, exhibitors are in charge of the actual shipment of their products to/from the event and SIMA will cover the costs once onsite. Still have questions? Contact exhibits@sima.org

Can I sell products out of my booth?

Are there any height restrictions for my booth?
  • Inline booths - Exhibit booths must not be higher than 8' in the back and 4' on each side.  Sign hanging for inline booths is not allowed.
  • Island booths (larger than 20x20) - Exhibit booths must not be higher than 16'
Are there any vehicle display rules I need to follow?

See all CTCC Exhibitor policies here.
When exhibiting motor vehicles inside the CTCC, the following requirements must be abided by:

  • Vehicle gas tanks must be less than 1/2 full or 10 gallons (whichever is less),
    and the cap for the fuel tank must be locked closed and cannot be removed
    while in the building.
  • Vehicle electrical system must be disconnected by removing at least one
    battery cable from each set of batteries.
  • At no time during a show may vehicles be moved, and any moving of the
    vehicles during move in and out must be supervised by building personnel.
  • Keys for entry and to start the vehicle, as well as any deactivation codes for
    security features, must be left with the Connecticut Convention Center
    security department.
