Vendor Dashboard
Each vendor has their own dashboard to view event specific information including booth number, request statuses, and links.
Dashboard links were emailed out to the primary contact and will be included in each montly Exhibitor Update email. If you are unsure of your Dashboard link, contact us at exhibits@sima.org.

Marshalling Yard
Exhibitors that require a loading dock MUST check-in at the off-site marshalling yard prior to heading to Convention Center for move-in and move-out.

Booth Inclusions
Each purchased booth is equipped with: 8’ high back wall drape, 3’ side dividers, choice of (1) 6’ skirted table, (2) padded side chairs, (1) wastebasket OR (1) highboy table, (1) high chair, (1) wastebasket, a booth identification sign showing the company name, Lead Retrieval license, AND ONSITE MATERIAL HANDLING.

Exhibit Rules
HEIGHT RESCRICTIONS
Inline booths: Exhibit booths must not be higher than 8' in the back and 4' on each side. Sign hanging for inline booths is not allowed.
Island booths (larger than 20x20): Exhibit booths must not be higher than 16'
VEHICLE DISPLAY RULES
When exhibiting motor vehicles inside the Duke Energy Convention Center, the following requirements must be abided by:
Vehicle gas tanks must be less than 1/4 full
The cap for the fuel tank must be locked closed and cannot be removed while in the building
Battery must be disconnected at both leads (If you have an Electric Vehicle, additional rules apply)
Use of a drip pan under the vehicle’s engine
You must notify Paramount Convention Services of plans to bring in any vehicle so that appropriate arrangements can be made with the local Fire Marshal. A cell phone number is required to be given upon arrival. The Fire Marshal will be onsite during all move-in hours distance in case of issues.
CARPETING
The exhibit area is not carpeted.
Area carpet IS REQUIRED for all booths configured as an island or peninsula.
Exhibitor Name Badges
Ten (10) exhibitor trade show only badges will be honored at a $0 fee per purchased booth. Badges must be worn at all times and are required for entry into the show; they must be worn by company representatives only.
Names for exhibitor badges are due by June 17, 2026. Badges beyond those included OR requested after the June 17th deadline will be at the prevailing Symposium registration fee.

Host Hotel
A room block has been set-up at the following hotels until May 25 or until the block is sold out. Register for your exhibitor name badges first and your confirmation email will contain the hotel booking link(s).

Lead Retrieval
Each Cincinnati exhibitor can opt-in to the complimentary Lead Retrieval license. This license allows you and your team to capture leads using their own smartphone device during the event - simply download the app and start scanning!
Stay tuned! App link and access license will be emailed to you prior to the event (mid-June). Onsite assistance will also be available at the exhibitor registration desk.

Parking
Vehicles able to park in the parking garage should do so.

Security
The venue will be locked during non-event hours. In-house security will monitor the trade show floor beginning at 5 pm on Monday, June 22.
*Please note that there will not be a security guard in the loading dock area, so any materials should be accompanied by a member of your team to ensure security of your property.
Certficate of Insurance - Due May 1, 2026
All exhibitors must provide SIMA with a Certificate of Insurance, naming SIMA as additional insured on your general liability policy of at least $1 million, listing the dates of the show (June 23-26, 2026) by May 1, 2026.

Communications
SIMA will send out a monthly Exhibitor Update email that contains information regarding your Snow & Ice Symposium booth purchase: important links and forms, deadlines, next steps, etc.
The identified Pre-Show contact will recieve these emails starting early 2026.
